PUMA South Africa relied heavily on Excel for financial planning and reporting. This manual setup required extensive time and effort each month, increasing the risk of errors and inconsistencies. Consolidating data across multiple stores was complex, and metadata maintenance—such as adding new stores—was cumbersome. Additionally, the finance team struggled with a lack of detailed insights across departments, divisions, and individual employees, making it difficult to conduct granular planning and reporting. PUMA SA sought a solution that would reduce manual effort, improve control, and create a structured workflow, enhancing security and visibility.

A Scalable and Automated Planning Solution

Venn Cubed partnered with PUMA SA to implement IBM Planning Analytics, delivering a scalable and automated financial planning solution. The engagement began with an in-depth analysis of requirements, data cleanup, and comprehensive documentation to ensure a seamless transition. The first phase focused on automating financial reporting by integrating General Ledger data from SAGE into IBM Planning Analytics, allowing real-time departmental reporting.

Following this, a detailed budgeting and forecasting application was developed, covering sales, COGS, operational expenditure (OPEX), and employee planning. The new system enabled planning and reporting at multiple levels, including individual stores, departments, and divisions, providing greater flexibility in financial decision-making. Additional capabilities, such as a fixed asset register and enhanced retail reporting, were introduced to improve financial transparency and efficiency. With over 35 stores across South Africa, PUMA SA can now generate more accurate and detailed retail performance reports, improving store-level decision-making and strategic planning. To ensure PUMA SA’s finance team could fully leverage the new system, extensive user training and support were provided, minimising the need for ongoing consultant intervention.

Month-end reporting became significantly less time-intensive, with a single setup eliminating recurring manual tasks. Automating data consolidation reduced human intervention, minimising errors and improving data integrity. Budgeting and forecasting cycles were shortened, offering better tracking and control over financial planning processes. A single source of truth enabled stakeholders at all levels, from junior finance staff to senior management, to access consistent, up-to-date financial data, improving visibility and decision-making across the organisation.
